Filemail for Outlook – Microsoft 365 deployment guide

Complete guide to installing the Filemail Add-in for Outlook in Microsoft 365, including deployment, user assignment, and configuration options.

This guide explains how Microsoft 365 administrators can deploy the Filemail Outlook Add-in to users in their organization using the Microsoft 365 Admin Center.

Prerequisites

Before you begin, ensure that:

  • You have Microsoft 365 Administrator permissions.

  • Users have access to Microsoft Outlook.

  • Your organization has an active Filemail account if required by your deployment.


Step 1: Open the add-ins management page

  1. Sign in to the Microsoft 365 Admin Center.

  2. Navigate to SettingsIntegrated apps (or Add-ins, depending on your Microsoft 365 version).

  3. You will see the list of currently deployed add-ins.

Step 2: Start a new deployment

  1. Click Deploy Add-In.

  2. The Deploy a new add-in wizard opens.

  3. Click Next.

Step 3: Choose deployment source

You will be presented with two options:

  • Choose from the Store – Deploy an add-in available in Microsoft's AppSource catalog.

  • Upload custom apps – Upload a custom add-in package.

For Filemail, click Choose from the Store.

Step 4: Search for Filemail

  1. In the search field, type Filemail.

  2. Locate Filemail in the search results.

Click Add.

Step 5: Accept the Terms

A dialog will appear displaying the Filemail license terms and privacy policy.

  1. Review the information.

  2. Click Continue to proceed.

Steps 6 & 7: Configure user access & select a deployment method

The Configure add-in page allows you to choose who receives the add-in.

Assign Users

Select one of the following options:

  • Everyone - deploy Filemail to all users in your Microsoft 365 tenant;

  • Specific users / groups - deploy Filemail only to selected users or Microsoft 365 groups;

  • Just me - deploy Filemail only to your own account for testing purposes.

Choose how the add-in will be made available:

  • Fixed (Default, Recommended for organization-wide deployments) - automatically installed for assigned users, users cannot remove the add-in;

  • Available - add-in appears in the organization's managed add-ins catalog, sers can choose to install it themselves;

  • Optional - automatically installed, users can remove it if they do not wish to use it.

Step 8: Deploy the add-in

  1. Review your settings.

  2. Click Deploy.

Microsoft 365 will begin distributing the Filemail add-in to the selected users.

Step 9: Verify installation

After deployment:

  1. Open Microsoft Outlook (desktop or web).

  2. Create a new email message.

  3. Look for the Filemail button in the Outlook ribbon or message compose window.

If the add-in does not appear immediately, allow some time for Microsoft 365 synchronization. Deployment can take from a few minutes up to several hours depending on your Microsoft 365 environment.

Troubleshooting

Filemail does not appear in search results

  • Verify that your Microsoft 365 tenant has access to AppSource add-ins.

  • Confirm you are signed in with an administrator account.

Users do not see the add-in

  • Verify they are included in the assigned user scope.

  • Allow additional time for Microsoft 365 replication.

  • Ask users to restart Outlook or refresh Outlook on the web.

Deployment fails

  • Ensure your account has the required Microsoft 365 administrative permissions.

  • Check Microsoft 365 service health for any ongoing issues.

Result

Once deployment is complete, users can securely send large files directly from Outlook using the Filemail add-in, without relying on traditional email attachment size limits.
